Thank you for your interest in submitting an abstract for the 7th annual JADPRO Live CE-certified conference. The event audience will include nurse practitioners, PAs, clinical nurse specialists, advanced degree nurses, hematology/oncology nurses, pharmacists and physicians. The conference chair invites our oncology advanced practitioner attendees who are members of the Advanced Practitioner Society for Hematology and Oncology (APSHO) to submit abstracts to be considered for moderated poster presentations at the conference.

The abstract submission deadline is 11:55pm PDT on August 1, 2019.

Abstracts may be submitted by oncology advanced practitioners who are members of APSHO and plan to attend the live conference.

Abstract submitters must complete all submission requirements by 11:55pm PDT on August 1, 2019 for the abstract to enter the review process and be considered for poster presentation. The abstract deadline will not be extended. There will be no additional deadlines for late-breaking data.

Information Required for Abstract Submission
An abstract submission must include the following information by the deadline to enter the review process:
  • Full name, credentials, title/position, institution, email, phone number and APSHO membership number of the submitting author
  • Full name, credentials, title/position, institution, email and phone number of each co-author
  • Title and complete body of abstract with appropriate sub-headings
  • Pertinent references and permissions (may be uploaded as an addendum)
  • Completed Copyright Transfer Agreement for Abstracts (lead or representative author must complete)
  • Completed Disclosure Forms (all authors listed on the abstract must complete)
  • Curriculum vitae (CV) or resume of submitting author
  • Declaration of the role of the authors in work/content presented in the abstract
  • Confirmation of original authorship completed by submitting author
Early submission is encouraged. Submitters may ask questions at any time during the process by contacting the abstract coordinator, Kelley Moore, kmoore@hbside.com. Similarly, the submitting author will be notified if there are questions regarding any information in the abstract submission.

Providing references during the submission process is recommended but not required; abstract submitters will have an opportunity to upload references essential for review, as well as necessary permissions. Changes to the submission will not be permitted after the submission deadline.

Abstract Topics and Categories
The APSHO member should submit an abstract describing a completed initiative that is significance to/for advanced practitioners in oncology. (See below for more information regarding complete and incomplete initiatives.)

Abstract topics may include research, clinical/evidence-based practice, educational initiatives, leadership, professional development or advanced practice projects. Abstract submitters will classify these in one of three categories:
  • Original Research/Evidence-based Practice
  • Professional Development
  • Quality of Care
Abstracts should be no more than 500 words. The title is not included in the word count.

The abstract should be organized with section headings that are included in the word count.
Example section headings:
  • Background (other options: Context, Setting, Objective, Aim, Goal, Purpose)
  • Methods (other options: Design, Intervention, Approaches, Procedures, Processes)
  • Results (other options: Findings, Outcome Measures, Effects, Discoveries)
  • Conclusions (other options: Interpretation, Summary, Evaluation)
  • Recommendations (other options: Implications, Proposals, Applications)
Authors are advised to make certain the abstract addresses the significance of the topic for oncology advanced practice, and also a clear description of the role of, and implications for, advanced practice in oncology.
  • Abstract content must be objective and free of bias.
  • Content must be original, novel, significant for advanced practitioners, not previously presented or published, and not submitted for consideration elsewhere.
  • Tables are not allowed with abstracts but may be used on posters.
  • Drug references in abstracts must be generic name.
  • Encore abstracts and abstracts discussing trials in progress will not be considered for review.
Requirements must be met and approved for an abstract to move into the review process.

Projects in Progress and Late-breaking Data
Abstracts should describe completed work; projects in progress may be considered for review if the content provided is compelling and pertinent to the advanced practitioner prior to completion. Late-breaking data past the submission deadline may be included in the poster should the abstract be accepted. Please contact the abstract coordinator to discuss.

A maximum of 10 authors is allowed. The submitting author may be contacted to clarify co-author information, role or contributions. Once the deadline has passed, changes to the abstract submission are not permitted.

Abstracts may not be written or submitted by parties on behalf of authors; submissions of this type will be declined.

APSHO Membership Information
An advanced practitioner who submits an abstract must be a current dues-paying member of APSHO in good standing and have a completed member profile. For more information regarding your current membership status or to join APSHO, please visit www.apsho.org.

Review Process
All completed abstract submissions that meet requirements will undergo review, including review by two or more peer reviewers in a double-blind review process via the electronic submission system. (Authors and peer reviewers will remain unknown to each other). The submitting author may contact the abstract coordinator for questions throughout the process. The abstract coordinator may contact submitting authors with questions regarding abstract submissions.

The abstract peer review will be focused on the following criteria:

Category 1: Background (Context, Setting, Objective, Aim, Goal, Purpose)
  1. The background is clearly summarized.
  2. The purpose/significance (of the educational topic, clinical project/issue, leadership or professional activity or research) is clearly defined and directed to advanced practice.
  3. The topic/content has implications for the advanced practitioner (AP).
  4. The role of the oncology advanced practitioner is distinctly described.
Category 2: Methods (Design, Intervention, Approaches, Procedures, Processes)
  1. How the purpose/objective was addressed is included.
  2. The implementation methods (interventions, approaches, procedures, and/or processes) are clearly described.
Category 3: Results (Findings, Outcome measures, Effects, Discoveries)
  1. The goals are evaluated according to specific measures.
  2. The outcomes are applicable to and valuable for oncology advanced practitioners.
Category 4: Conclusions (Interpretation, Summary, Evaluation)
  1. The outcomes and findings are clearly summarized and discussed.
  2. The implications for oncology advanced practice are clearly identified.
Category 5: Recommendations (Implications, Proposals, Applications)
  1. Suggestions, recommendations and/or next steps are included and applicable for APs or to advanced practice.
Category 6: Innovation
  1. The research, clinical/evidence-based practice project or advanced practice initiative/activity is innovative, fresh, creative or ground-breaking.
Peer reviewers will also offer an abstract outcome recommendation and review chairs will make final decisions. All correspondence will be directed to the submitting author, including notification of review outcomes. Accepted abstracts will be eligible for poster presentation at the conference.

Poster Presentation Requirements
Submitting authors whose abstracts are accepted for poster presentation will be contacted by the abstract coordinator. The abstract coordinator will provide additional details and outline next steps in the process, including poster number, specifications for poster development, author tasks, presentation times and any additional requirements for final approval.

Poster presentations are open to submitting author APSHO members who are registered and paid conference participants. The submitting author is the anticipated presenting author. Please contact the abstract coordinator as soon as possible if an author other than the submitting author should present, or if there are questions regarding the presenting author’s role. If extenuating circumstances occur, An APSHO member abstract co-author of the original accepted abstract may be permitted to present with approval prior to the conference.

The Presenting Author will complete the following tasks in the electronic system:
  • Confirm author profile information
  • Upload author photo
  • Upload author bio
  • Upload final poster in PDF format
  • Provide JADPRO Live registration confirmation number
Poster tasks will have specific deadlines. All communication regarding poster presentation will be directly with the submitting/presenting author. If there is a problem anticipated regarding meeting deadlines, the abstract coordinator should be notified. All posters should be displayed by 5pm PDT on Thursday, October 24, 2019 at the Washington State Convention Center in Seattle, Washington (conference venue). Please note this date for arranging travel to the conference and contact the abstract coordinator for any questions or concerns.

Poster presentations for accepted abstracts will be held on Friday October 25 and Saturday October 26, 2019 at designated times. The submitting/presenting author should be on site to discuss the poster for the duration of both moderated poster sessions during the conference. If extenuating circumstances arise that will prevent the submitting author from presenting, the abstract coordinator must be notified before the first poster session.

Accepted abstracts, posters, and presenting author information will be available to registered conference attendees in the conference app and as e-posters on the JADPRO Live official conference website, www.jadprolive.com. Accepted abstracts will be published in an issue of the Journal of the Advanced Practitioner in Oncology (JADPRO) following the live conference. Publication of the abstract will not jeopardize future submission of a manuscript; authors are encouraged to continue work to manuscript submission.

Outstanding Poster Award
The annual Outstanding Poster Award will take place at JADPRO Live 2019 in Seattle, Washington, and will be granted on-site. To be eligible for the award, the final pdf of the poster for the accepted abstract must be uploaded to the electronic submission system by 5pm PDT on Thursday, October 10, 2019.

The Poster Award Review Task Force will use the same abstract peer review criteria (see review categories above) to consider all abstract posters submitted by the poster upload deadline and will select the Outstanding Poster Award winner.

The poster award winner will receive an Outstanding Poster Award ribbon, Outstanding Poster Award name badge flags for all attending poster authors, special announcement and recognition at JADPRO Live 2019, recognition in the meeting coverage issue of the Journal of the Advanced Practitioner in Oncology (JADPRO) following the conference, and recognition in APSHO Advance, the Advanced Practitioner Society for Hematology and Oncology (APSHO) member newsletter.

Accessing the Submission System
Submitting authors may access the Abstract Submission system below. After reading the guidelines, the submitting author should click on “Create Account” under the New Users area to create an account for the submission system. Once an account is created, the submitting author will be able to access the abstract up until the submission deadline. Submissions that are incomplete at the time of the deadline will no longer be able to be accessed.
