Welcome to the ACT 46th Annual Meeting Session Proposal Submission System


~~READ ALL IMPORTANT INFORMATION BELOW BEFORE STARTING YOUR SESSION PROPOSAL SUBMISSION!~~

ACT is excited to hold its 46th Annual Meeting November 16–19, 2025 at the JW Marriott Desert Ridge in Phoenix, Arizona. The Program and Education Committees will thoroughly review each session proposal submitted, weighing the science at the highest level while also assembling a balanced overall program. The following are important reminders to consider when submitting your proposal:
  • The online submission system is open until Sunday, December 15, 2024 (11:59 pm EST). Submissions may be adjusted/edited in the online system before the closing date. Late submissions will not be considered.
  • Notifications of acceptance in the scientific program will be sent to session Chairs during the first week of March.
  • Session chairs are encouraged to develop a diverse panel of speakers that provides a range of perspectives in addressing the proposed session topic.
  • ACT encourages you to review the How to Submit a Winning Session Proposal Document before starting the submission process.
  • Requests for travel reimbursement for identified speakers must be indicated in this online system at the time of proposal submission by selecting either “Requires Member Funding” or “Requires Nonmember Funding.” For details on reimbursement please review the Expense Guidelines.
  • All speakers will be required to sign the Speaker Licensing Agreement Form. Please share this form with your speakers, ahead of time, to ensure they are able to sign the form before submitting your proposal (NO adjustments to the licensing form will be allowed). Speakers not able to sign the ACT licensing form must be replaced.
  • At least one session Chairperson must be an ACT member. Nonmembers are invited to apply for membership through the online application system.
  • All session Chairpersons will be required to sign the Chairperson Agreement Form.
  • Session Chairs are encouraged to reach out to organizations for financial support for their sessions. Support Information from the previous year can be used as a guide; support information will be updated in March.
  • Registration for speakers will be waived for the course they are presenting in or the day their session takes place. Speakers may extend their registration to the full meeting, at a discounted rate, using the Speaker Registration Form (available in March).
  • Before submitting your session proposal, please review the detailed information provided in the relevant Chairperson and Speaker Information Packet from the previous year: CE Chairperson and Speaker Information Packet or Symposia Chairperson and Speaker Information Packet (Updated Chairperson and Speaker packets will be provided with the acceptance notifications in March.)
  • By submitting a session proposal, the Chairperson agrees to communicate all messages and deliverables to the session speakers.
