Seminar Submission Process – What To Expect
Submit a Proposal – Prospective speakers must submit a proposal that meets the outlined requirements in the next section. Content Must Be Non-Commercial.
1. Proposal Review – The Professional Education Seminar Chairs and other reviewers evaluate submissions based on:
- Topic relevance and technical depth
- Clarity of the proposal
- Whether a similar seminar has been presented recently at APEC
- Potential commercial nature of the seminar
- Presenter’s past performance in seminar settings
- Overall fit within the seminar program
- Note: Even strong proposals may not be accepted for a given APEC.
2. Notification – Speakers will be informed whether their proposal has been accepted. If accepted, the corresponding author must confirm their participation in writing within the defined deadline (usually within 7-10 days after receiving the acceptance notification).
- If the author(s) do not confirm their participation, the proposal may be replaced by another submission.
3. Final Presentation Submission - The speaker(s) must submit their final presentation by the stated deadline. Submission of the presentation grants APEC and its sponsors permission to distribute the seminar in any format or method they choose.
4. Presentation at APEC 2026 – The final step is to deliver the seminar in person at the conference.

Seminar Proposal Format And Requirements
- Presenter Contact Information – Provide the name, affiliation, mailing address, telephone number, and email address for all presenting speakers.
- Abstract (≤200 words) – Outline the seminar’s content, specifying whether it will be an in-depth exploration or a broad survey. Indicate the intended audience level (entry, intermediate, or advanced). This abstract should be suitable for publication on the APEC website and in the program book.
- Topical Outline (3-5 pages, double-spaced) – Detail the major topics, including estimated time for each section. Ensure sufficient depth and comprehensiveness to cover over three hours of presentation.
- Live Demonstration (if applicable) – must be approved by the Seminar and A/V Chairs in advance. Describe the demonstration, including required equipment and any special needs (e.g., additional tables, power outlets or video feeds). Note that live demonstrations are discouraged, and approval is not guaranteed.
- Speaker Biography (≤200 words) – Summarize relevant professional experience, emphasizing industrial background. Include a brief list of degrees. Space permitting, mention IEEE committee involvement, awards, or recognitions. Avoid submitting full resumes or academic CVs.
- Submission Format – Submit the proposal as a PDF via the Seminar Speaker Portal before the stated deadline.
Please note, all proposals should be submitted by the presenter to facilitate smooth and consistent communication leading up to APEC 2026. If the original proposal submitter is not the presenter, the proposal risks getting rejected unless the presenter is made the primary contact person prior to final acceptance.
Presenters are required to register for APEC 2026 in accordance with APEC registration policies.
