2020 AAMC National Professional Development Conference for Institutional Advancement Sponsored by the Group on Institutional Advancement

The AAMC Group on Institutional Advancement (GIA) Steering Committee wants your input on what should be presented at the 2020 National Professional Development Conference for Institutional Advancement, April 1-4 in New Orleans, Louisiana. This annual conference is the only professional development conference designed exclusively for alumni relations, communications, development, marketing, and public affairs/community relations professionals in academic medicine. We look forward to your contribution. Submit a proposal to share your successes, failures and lessons learned, future directions, promising practices, collaborations, or solutions to community-wide issues.

This year, you have the option to:
  • Submit a concurrent session proposal
    • A blend of peer learning based on instructions, case studies, small group discussions, and interactions, generally targeted toward specific disciplines. These sessions run for 1 hour.
  • Submit a deep-dive session proposal
    • Longer sessions for the in-depth development of skills and abilities featuring high levels of interactivity. These sessions run for 2 hours.

All submissions and recommendations are due: June 12, 2019 at 11:59 PM ET. No late submissions will be accepted.

Collaborations
The GIA Steering Committee and Conference Advisory Groups highly encourage submissions that incorporate collaborations among both public and private institutions, medical schools and teaching hospitals/medical centers, and large and small establishments and recognize varying levels of resources. Members are encouraged to identify colleagues either from their home institution or beyond. The reviewers will place higher preference on collaborative submissions. The GIA Steering Committee reserves the right to consolidate submissions.

If you are submitting a session proposal, please include the following:
  • Clear and concise session title
  • 1-2 paragraph session description
  • 3 learning objectives focusing on outcomes
  • Proposed speakers (name, title, institution, email address)
  • Adult learning delivery format (e.g., small group discussions, panel presentation, case studies)
  • Target disciplines (alumni relations, communications, development, marketing, public affairs/community relations)
  • Target career level (early career, mid-career, senior executive, all levels)
Things to Consider
The committee is looking for interactive presentations that are cross-disciplinary and involve group participation and discussion. Your proposal will be strengthened by partnering with another department at your own institution or with another institution. Don’t have them lined up yet? That’s okay. Please detail your plan as much as possible.

What knowledge or experience can you share with your colleagues? Is there a successful (or unsuccessful) project or collaboration you can turn into a teachable moment for our conference participants? We are especially interested in learning from failures. If you could lead your peers in a conversation about an important issue in advancement or academic medicine, what would it be?

Were you a speaker at the 2019 conference in Orlando? If so, is your proposal a continuation of the previous conference session or a new idea or topic? Please specify.

Will you be available to attend the entire conference (April 1-4, 2020)? We may not be able to accommodate session scheduling requests if you cannot attend part of the conference.

Consultants and non-AAMC member organizations must present in conjunction with an AAMC member institution. Proposals from commercial organizations must specify which AAMC member institution will participate in the session and provide the name and contact information for that co-presenter.

Selection Process
The GIA Steering Committee and Conference Advisory Groups will review all submissions. The selection of a proposal or idea will be based on the description and the potential value to institutional advancement professionals. Additional factors considered in the review include originality, timeliness of the topic, speaker qualifications, and proposed level of interaction. Individuals who submit to this call will receive feedback about whether their suggestion was accepted. All decisions made by the GIA Steering Committee are final and will be made by Fall 2019.

Speaker Requirements
Before submitting a session proposal, please note our speaker policies. We operate on a peer-teaching-peer model.
  • Registration and Attendance: Speakers are required to pay for the conference registration fee and attend the conference in its entirety.
  • Travel Expenses: Speakers assume responsibility for their own expenses, including transportation and hotel costs.
  • Session Selection: The GIA Steering Committee reserves the right to merge and consolidate submissions. All decisions made by the Steering Committee are final.
  • Scheduling: Speakers agree to present their session during their time assigned by the GIA Steering Committee; the AAMC may not be able to accommodate session scheduling requests.
  • Presentation Materials: Speakers agree to provide presentations and handout materials in advance of the conference to the AAMC speaker coordinator.
  • Speaker Information: Speakers agree to submit a color headshot and short bio to the AAMC speaker coordinator prior to the conference for the conference website and mobile app.
The content of submitted proposals, including required approvals for previously published and/or copyrighted material, are the sole responsibility of the presenters. AAMC is not responsible for any liability, financial or otherwise, associated with proposal content or publication. With regard to confidential or proprietary information, presenters are advised that AAMC meetings and presentations are fully open and accessible to all interested registrants, including the media and general public, and that submitted proposals are subject to publication in AAMC meeting materials.
