Submit Your Abstract for the WVAFP 75th Annual Scientific Assembly

The West Virginia Academy of Family Physicians (WVAFP) invites you to submit an abstract and take advantage of the opportunity to have your work reviewed by family medicine physician experts in the field. If accepted, you will have an opportunity to present your poster at the WVAFP 75th Annual Scientific Assembly in Wheeling, West Virginia.

The following is your guide to submitting an abstract for the WVAFP 75th Annual Scientific Assembly. Please read the entire guide before you begin the submission process.


Important Dates:
Tuesday, September 15, 2026: Abstract Submission Site Opens
Monday, February 1, 2027: Abstract Submission Deadline at 11:59 PM Eastern Time
Wednesday, February 10, 2027: Abstract Review Deadline
Monday, February 15, 2027: Acceptance Notifications Sent via Email
Saturday, February 20, 2027: Accepted Presenter Confirmation Deadline
Monday, March 1, 2027: Final Presentation Schedule Released
Saturday, March 20, 2027: Onsite Poster Presentations (Time TBD)


ELIGIBILITY

Who is Eligible to Submit
• WVAFP members, including family medicine residents, medical students, and physician members, are eligible to submit an abstract. WVAFP membership is required at the time of submission.

Abstracts Eligible for Submission
• Clinical or educational scholarly activity performed by a WVAFP Family Medicine resident, medical student or an attending physician.
• Original research, clinical scholarship, case reports or case series, quality improvement initiatives, educational scholarship, and other scholarly work relevant to Family Medicine are eligible for submission.
• Eligible work must have been completed within the past five years.
• Abstracts reporting the results of a clinical trial must identify the trial phase.


ABSTRACT SUBMITTER EXPECTATIONS

• Submit abstract(s) within the submission timeline.
• All abstracts must be submitted online.
• By submitting your abstract, you agree to present the abstract if it is selected for presentation during an oral (main stage) or poster abstract presentation at the WVAFP 75th Annual Scientific Assembly.
• If you do not wish to present your abstract as a poster, please check the appropriate box during the submission process. This is your only opportunity to indicate your preference, if your abstract is accepted.
• Select the most appropriate family medicine topic to submit the abstract based on the most relevant disease/topic.
• Submitters will be able to access complete submission instructions and guidelines via the online submission site.
• No changes may be made to a submission after the deadline of February 1, 2027 at 11:59 pm Eastern Time. However, the submitter will be able to access the submission portal to view the completed abstract submission.
